1. Open your Outlook desktop app and select the Calendar icon from the bottom left corner of the screen.
2. Go to Appendix A to check the availability of the rooms first. Select New Appointment at the top left corner of the screen or press Ctrl + N to schedule an appointment.
3. On the pop-up window, enter a title to name the appointment and select Location to see the list of rooms that can be booked online
4. Double-click the room you want to book to see it added to the rooms box in the bottom (as shown in the screenshot) and select OK.
5. Once the desired room has been added to the location, include all the required attendees, pick the start and end time, and select Send to request the room.
6. You will get an acceptance email if the room is available (as shown in the screenshot):
7. If it is not available, you will get a ‘declined’ email showing you the conflicts:
8. If you wish to cancel the appointment, simply select Cancel Meeting located at the top left corner of the screen and exit. Select “Yes, send a cancellation.” and click OK when prompted.
APPENDIX A - To view the availability of the rooms before scheduling an appointment/meeting, please read the following instructions:
1. Click the calendar icon located at the bottom left corner of the screen (as shown in step 1)
2. Click Add and select From Room List...
3. Double-click the desired room from the options to check the availability
